Werkman, Boven & Associates is a dedicated foot-care clinic in Oakville, ON, specializing in chiropody and podiatry services for patients of all ages. Our team is committed to delivering exceptional care focused on prevention, assessment, and treatment of foot-related issues. As a Receptionist, you will play a vital role in ensuring a welcoming and efficient experience for our patients and supporting the smooth operation of the clinic.

Key responsibilities include:

  • Greet and assist patients upon arrival, creating a positive first impression
  • Answer phone calls and respond to emails with professionalism and empathy
  • Schedule patient appointments and manage the clinic calendar
  • Invoice patients, process payments, and handle product purchases and inquiries
  • Create, update, and maintain confidential patient medical records
  • Ensure accurate charting of patient-care information and proper handling of sensitive data
  • Prepare treatment plans and estimates in coordination with chiropodists
  • Coordinate referrals and next steps for patient care
  • Support clinic assistants and contribute as a member of the clinical team

Requirements

Required Qualifications:

  • High school diploma or equivalent
  • Minimum 1 year of experience in a healthcare or medical office setting in a front desk, reception, or customer service role
  • Experience scheduling appointments for patients or clients
  • Experience invoicing clients or patients and processing payments
  • Experience creating, updating, and maintaining confidential patient or client records
  • Working proficiency with Microsoft Office or Google Workspace
  • Hands-on experience using scheduling and billing systems, as well as POS/payment terminals
  • English proficiency for patient-facing communication (spoken and written)

Preferred Qualifications:

  • Experience with medical office software or electronic medical records systems
  • Familiarity with healthcare privacy regulations and best practices
  • Strong organizational and time-management skills
  • Ability to multitask and manage competing priorities in a busy clinic environment
  • Professional, compassionate, and patient-focused attitude
  • Experience supporting multidisciplinary teams
  • Strong problem-solving and critical thinking skills
