Description

Our Health, Safety & Environment (HSE) group is currently looking to add an HSE Administrator to the team, based in Blackfalds, AB. 

Reporting to the HSE Manager, this position provides comprehensive administrative and coordination support to the Health, Safety & Environment (HSE) program. It is responsible for managing employee, subcontractor, and third party onboarding, safety compliance, fleet driver approvals, and documentation across multiple client and internal systems. The successful candidate will be highly organized, detail oriented, and comfortable working in a fast paced environment with multiple stakeholders. 

Duties and Responsibilities

Onboarding & Compliance

  • Coordinate hire on requests for new and re hire employees, subcontractors, and third party vendors.
  • Assist personnel with onboarding requirements via phone, email, and text.
  • Issue, receive, file (hard copy and electronic), and track onboarding documentation.
  • Monitor expiries and provide onboarding status updates to Construction Managers, Safety, Foremen, and Project Controls.

Orientations & Client Systems

  • Schedule, issue, and track Company and client orientations (internal LMS, ISN, ComplyWorks).
  • Provide technical support for , ISN, and ComplyWorks systems.
  • Maintain compliance with current client orientation standards.
  • Create onboarding requirement documentation (PowerPoint and PDF).

Fleet Driver Approval

  • Manage fleet driver approval processes and documentation.
  • Verify licensing, training, and driver eligibility requirements.
  • Maintain secure driver files and track expiries.

Safety Records & Ticket Management

  • Receive, file, and manage personnel safety tickets.
  • Track ticket expiries to ensure ongoing compliance.

Drug & Alcohol Testing

  • Coordinate D&A test bookings and tracking.
  • Maintain clean card records.
  • Prepare Non Conformance Reports (NCRs) for D&A infractions and maintain HSE tracking lists.

Company HR Platform Administration

  • Initiate onboarding for new hires and subcontractors.
  • Monitor compliance and documentation completion.
  • Verify photo ID, subcontractor documentation, payroll forms, and employee change forms.
  • Manage employee/subcontractor status changes, role changes, and project assignments.
  • Send reminders for missing or unsigned documentation.

Programs & Support

  • Prepare Greenlight ticket packages and project specific files.
  • Manage Green Hand Program registration, tracking, and surveys.
  • Send weekly reminders for Green Hand and onboarding documentation.
  • Provide after hours onboarding support as required.

Requirements

  • High School Diploma or equivalent
  • 3 years experience in a related position
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with data entry, data management, and filing systems
  • Strong communication skills via phone, text, and email
  • High level of confidentiality and record management accuracy
  • Ability to self manage and work independently
  • Strong time management, prioritization, and multitasking skills

Preferred Skills / Qualifications

  • Post-Secondary education in Health and Safety
  • Previous experience supporting field operations
